The H2Excellence, an Erasmus+ project and its partners (hereinafter referred together “H2Excellence”) take your privacy seriously. This Privacy Policy describes what personal data we collect from you when you interact with H2Excellence or use our online and onsite services. It explains how we use your personal data and what rights and options you have.
H2Excellence project partners are mainly Data Controllers. Processing is carried out under the Regulation (EU 2016/679 of the European parliament and of the Council of 27 April on the protection of natural persons with regards to the processing of personal data and on the free movement of such data (“General Data Protection Regulation”, “GDPR”).

1. Personal Data We Collect
H2Excellence may collect certain types of personal data about you when you visit our website, use our online platform or interact with us in other ways such as attending a H2Excellence event. The categories of personal data we collect are:
- Name and contact information, such as your first and last name, email address, and country.
- Professional background, such as the name of your company or institution, your role and title.
- Platform account information, such as your H2Excellence platform account login and password.
- Other information that you submit to H2Excellence voluntarily.
2. How We Collect Personal Data
We collect usage information when you access our web site, subscribe our newsletter, participate our events or use our platform. The rest of the information listed above may come directly from you or from our authorized collaboration partners, such as organizations that help us organize events and host the online platform.
3. How We Use Your Personal Data and the Legal Basis for Processing
We use the personal data that we collect for the following purposes:
To carry out the H2Excellence project as described in the implementation plan.
- To get an understanding of how different stakeholders are engaged in H2Excellence activities.
- To administer and improve our online and onsite services.
- To enable delivery of conferences, seminars, training opportunities, survey and advisory services, and other activities.
- To send promotional material about our project, services, and events.
- To allow you to integrate H2Excellence platform. This Privacy Policy does not apply to any such platform services, which is governed by a separate EULA.
The legal basis for processing are:
- Legitimate interest (Art. 6(1)(f) GDPR
- Consent (Art. 6(1)(a) GDPR)
- Legal obligation (Art. 6(1)(c) GDPR)
The legal basis shall be tied to each processing purpose. For example, if we send promotional materials on our projects, services, and event, we process personal data based on consent that the recipient of promotional materials has given in advance.
4. How Long We Retain Your Personal Data
We will retain your personal data only as long as reasonably needed to fulfill the purposes outlined in this Privacy Policy or as allowed or required by law.
For this privacy policy purpose, our estimate is that the applicable retention period is project duration (15.06.2023-14.06.2027) and five (5) years after the completion of the H2Excellence project (14.06.2032) as required by grant agreement (GA).
We evaluate the need to store personal data regularly. In addition, we perform all possible reasonable measures to ensure that any inaccurate, incorrect or outdated personal data will be deleted or corrected without delay.
At the end of that retention period your data will be deleted completely.
5. Reasons We Share Your Personal Data
H2Excellence will not sell or rent your personal data to other companies. We will not disclose your personal data to other companies, except in the limited manner and for the limited purposes described in this Privacy Policy.
H2Excellence may share personal data with H2Excellennce funders, service providers, and other third parties in order to fulfill the limited purposes described above. You can contact us for more information about these recipients of personal data.
When we disclose personal data, we use a contract requiring the recipient to protect your personal data in compliance with law.
6. Cross Border Data Transfers
Personal data may be stored, processed and transferred between any of the countries in which the H2Excellence consortium operates. The H2Excellence consortium includes partner from Canada.
When personal data is transferred outside of the EU or the EEA, we ensure the lawfulness of the transfer by using appropriate safeguards. You may receive more information about the cross-border data transfers and applicable safeguards by contacting us.
7. How We Protect Your Personal Data

We restrict technically the access to our information systems with personal usernames and passwords and the necessity of access rights are regularly assessed. The database containing personal data is held on a server, which can only be accessed by designated and authorized persons. Opting out of email communications
H2Excellence sends many types of email including newsletters, event announcements, training opportunities, and details of release updates. You may choose not to receive these types of communications.

You can use browser settings and third-party services to block cookies, advertisements, and certain other kinds of information transmitted over the Internet.
Updating your personal information
Account holders on the H2Excellence platform can update their personal data online in the following ways:
- Data Erasure – Request deletion of your personal data.
- Restrict Processing – Request that the processing of your personal data be restricted.
- Data Access and Portability – Request a copy of your personal data in a machine-readable format.

9. Information Submitted to H2Excellence Platform
Users may submit information to online platform areas of H2Excellence that may be publicly accessible. For instance, users may create a community profile that includes a personal bio and social media links, contribute contents to the platform, or submit questions and comments to H2Excellence community. The content you submit will be accessible from any part of the world via the Internet, and any information your submissions contain may be used by H2Excellence and the public.
10. Compliance with Privacy Laws and Your Rights
H2Excellence complies with applicable privacy laws, including the EU General Data Protection Regulation (GDPR).

If you are subject to the GPDR you have the following rights, as a data subject:

- The right to object to the processing of personal data that is based on our legitimate interest (such as direct marketing), unless our legitimate interests shall override the interests, rights and freedoms of yours or processing is necessary for the establishment, exercise or defense of legal claims.
- The right to withdraw your consent at any time (this will not affect the lawfulness of any processing carried out before you withdraw your consent).

11. Changes to the Privacy Policy
H2Excellence may modify this Privacy Policy at any time, and such modifications shall be effective immediately upon posting of the modified Privacy Policy
